Job Summary: The Collections Assistant is responsible for providing assistance to the Collections Department, with an emphasis on managing documents and communication with clients and attorney network. The Collections Assistant will also perform additional tasks including, but not limited to, handling inbound and outbound mail related to collection matters, assisting in new file review/setup, closing completed files in accordance with internal retention protocols, and providing general assistance to other members of the Collection Services Group on an as-needed basis.

Essential Responsibilities:

  • Manage file handlers’ outstanding follow-ups with clients and network attorneys
  • Communicate with clients and network attorneys by phone and email
  • Organize and manage inbound and outbound mail related to collection matters
  • Review, label, and organize documents related to mechanic’s liens, bond claims, UCCs, and unsecured collection matters
  • Other duties as assigned

Competencies:

  • Basic proficiency in standard Microsoft Office applications (Word, Excel, Outlook)
  • Ability to communicate effectively and efficiently, both by phone and by email
  • Basic proficiency with PDF editor applications

Education, Experience, Certifications:

  • High school diploma or equivalent required
  • Associate’s degree preferred
  • Legal assistant
  • Previous experience in a law firm, legal department, or collections department preferred

Physical and Mental Demands:

  • Ability to communicate effectively in person, via phone, and email
  • Manual dexterity
  • Near visual acuity
  • Prolonged sitting while viewing a computer monitor
  • Prolonged standing
  • Frequent typing and use of keyboard/mouse
  • Ability to lift up to 10lbs regularly
