How NCS Collection Services Work
NCS Collection Services provide a clear, documented process for recovering commercial debt. Once you are enrolled, NCS manages your collection activity using established workflows designed to align with the status and complexity of each claim.
NCS offers two collection options: In-House Collection Services and Attorney Collection Services. Claims may begin with in-house collections and move to attorney placement when escalation is appropriate.
Documentation to Have Available When Placing a Claim
Providing complete backup documentation when placing a collection claim helps NCS review the account efficiently and communicate clearly with the debtor. Documentation is also important if escalation to an attorney becomes necessary.
Contracts, agreements, or credit applications
Invoices and a statement of account
Proof of delivery or proof of service
Payment history and returned payment records
Relevant correspondence or prior demands
Personal guarantees, if applicable
In-House Collection Services
In-House Collection Services are intended to encourage payment through formal demand and professional follow-up, without immediate legal involvement.
Free Demand
The Free Demand provides an initial opportunity to resolve the account before active collection begins.
- Claim Placement: Claims are submitted to NCS for review and processing.
- Demand Issued: NCS sends a written demand letter to the debtor via regular mail.
- 10-Day Review Period: If payment is received within 10 days and payment is reported to NCS, no collection fee is assessed. If payment is not received, the claim advances to active in-house collection on Day 11.
Immediate Personal Collection
Immediate Personal Collection is designed for accounts that require faster or more direct engagement.
- Written Demand: A formal demand letter is issued upon placement.
- Phone Outreach: Phone contact with the debtor begins at placement.
- Ongoing Follow-Up: Collectors conduct consistent, professional follow-up to secure payment or determine appropriate next steps.
Attorney Collection Services
When legal involvement is appropriate, NCS facilitates placement through its national network of commercial collection attorneys. These attorneys focus on both secured and unsecured claims, including mechanic's lien enforcement, UCC related claims, and commercial litigation when necessary.
Attorney Placement Process
The attorney placement process begins when you request placement, at which point NCS provides an Attorney Acknowledgment detailing applicable fees and terms. Once the acknowledgment is signed and returned, your claim is assigned to a qualified local attorney.
The attorney then takes action by issuing a demand letter, reviewing documentation, and investigating the claim. Based on their findings, the attorney provides recommended next steps, and any legal action proceeds only with your approval.
Visibility and Oversight
Throughout the collection process, you retain visibility into claim activity and control over escalation decisions. NCS coordinates communication and manages each stage of the process on your behalf.
